Enrollment Agreement

This Enrollment Agreement governs registration and participation in courses, programs, and educational services offered by Ardent Academy ("Ardent", "we", "our", or "us"). By enrolling a student in any Ardent course or program, the parent or legal guardian accepts this Agreement on behalf of the student and agrees to comply with all applicable Ardent policies. Use of Ardent's website, parent portal, and online services is governed separately by the Terms of Use and Privacy Policy.
Registration
Ardent Academy serves students in kindergarten through grade 12.
The parent or legal guardian is responsible for providing accurate registration information and maintaining current contact information.
New families may establish an account by contacting Ardent Academy directly.
Returning families may register through the SOLVE platform, the parent portal, or other registration methods authorized by Ardent.
Enrollment is not complete until:
- Registration is accepted by Ardent Academy; and
- Required tuition and fees have been paid.
Class schedules, instructors, delivery methods, locations, and course offerings may be modified, rescheduled, combined, or canceled when necessary.
Tuition and Payment
Unless otherwise stated, full tuition and applicable fees are due at the time of registration.
Accepted payment methods may include:
- Credit cards
- Debit cards
- Electronic payment services
- Other methods approved by Ardent
A registration is not confirmed until payment has been successfully processed.
Certain programs, including the Summer Research Program, may use separate billing procedures and payment schedules.
Ardent reserves the right to suspend participation in a course or program if required payments are not received.
Class Changes, Withdrawals, and Refunds
Requests for class changes or withdrawals must be submitted in writing to Care@ArdentAcademy.com.
Requests are effective on the date received.
Withdrawals
If a withdrawal request is received seven (7) or more calendar days before the first scheduled class meeting, tuition will be refunded less a $50 administrative processing fee.
Withdrawals requested fewer than seven (7) calendar days before the first scheduled class meeting are not eligible for a refund or credit.
Class Changes
Class changes may be requested up to two (2) weeks before the start of a course and are subject to:
- Available space
- Appropriate placement
- Instructor approval where applicable
Ardent is not obligated to approve a requested transfer.
Missed Classes
No prorated tuition, refund, or credit will be provided for missed classes except where required by law or expressly stated in a program policy.
Trial Classes
Certain courses may offer a trial class.
Trial classes must be arranged through Ardent Academy and are subject to availability.
If the student continues enrollment after the trial class, the trial class becomes part of the enrolled course and tuition is due for the full program.
If the student does not continue, no tuition is charged for the trial class.
Trial classes are not available for all programs. Exclusions may include Summer Research Programs, Winter Bootcamps, Intensive Preparation Programs, and other designated offerings.
Promotional Credits and Offers
Ardent may offer promotional credits, referral credits, scholarships, discounts, or other incentives.
Unless otherwise stated:
- Promotional offers apply only to eligible programs.
- Promotional offers may not be combined.
- Promotional offers have no cash value.
- Promotional offers are non-transferable.
- Promotional offers may expire if unused.
The New Student Credit provides eligible new families with a credit toward an initial course registration as described in current promotional materials.
Referral credits may be forfeited if eligibility requirements are not met, including situations where a referred student withdraws before completing the applicable enrollment period.
Ardent reserves the right to modify or discontinue promotional programs at any time.
Online Learning and Technology
Many Ardent programs use the SOLVE learning platform and other online technologies.
Families are responsible for providing:
- Reliable internet access
- Appropriate devices
- Updated software and browsers
- A suitable learning environment
Ardent is not responsible for interruptions caused by the student's equipment, internet service, or technical issues outside Ardent's control.
Student Participation and Conduct
Students are expected to participate respectfully and in a manner that supports a productive learning environment.
Ardent may remove a student from a class, suspend access to services, or terminate enrollment when conduct materially disrupts instruction, threatens the safety of others, violates Ardent policies, or interferes with the educational experience.
When appropriate, Ardent will attempt to communicate concerns with the parent or guardian before taking action.
Educational Services Disclaimer
Ardent Academy provides educational instruction, mentoring, and academic support.
Individual outcomes vary significantly.
Enrollment in an Ardent program does not guarantee:
- Academic achievement
- Grades
- Standardized test scores
- Competition results
- Research outcomes
- Scholarships
- Admission to any school, college, university, or program
Success depends on many factors beyond Ardent's control, including student effort, prior preparation, and external evaluation criteria.
Course Materials and Intellectual Property
Instructional materials may include:
- Curriculum content
- Problem sets
- Assessments
- Recordings
- Videos
- Slides
- Research materials
- Platform content
These materials are owned by Ardent Academy or its licensors and are licensed solely for the enrolled student's personal educational use.
Access to course materials may be limited to the duration of enrollment and may expire before the beginning of a subsequent session.
Except as expressly authorized by Ardent, families may not:
- Copy or reproduce materials
- Redistribute materials
- Publish materials
- Sell materials
- Share account access
- Provide materials to non-enrolled individuals
- Use materials to train artificial intelligence or machine learning systems
Recordings and Educational Operations
Ardent may record classes, tutoring sessions, office hours, meetings, or instructional activities for educational, operational, quality assurance, training, security, or administrative purposes.
By participating in Ardent programs, parents and students consent to such recordings where permitted by law.
Ardent will not publicly disclose student recordings except as authorized by the family or required by law.
Research, Admissions, and Specialized Programs
Certain programs, including Summer Research, college admissions advising, competitions, mentoring, and specialized educational services, may be governed by additional program-specific policies or agreements.
Where applicable, those additional policies supplement this Agreement.
Changes to This Agreement
Ardent Academy may update this Enrollment Agreement from time to time.
The version in effect at the time of enrollment will generally govern that enrollment unless changes are required by law, operational necessity, or safety considerations.
